Bid PDFs in, schedule of values out. Ali'i Builders Bid Board and estimating workspace.

One workspace runs bidding for Ali'i Builders: subcontractor PDFs become structured comparisons, scope gaps surface on their own, and selecting a vendor writes the schedule of values with Hawaii's general excise tax already in it.

Client background

Ali'i Builders is a general contractor in Kailua-Kona, bidding work across the usual divisions with subcontractor quotes arriving from every direction.

Business challenge

Bidding is where a general contractor's week goes. Subcontractor quotes arrive as PDFs in a dozen formats, and somebody has to read all of them closely enough to know which number is genuinely lower and which one is just missing scope.

The expensive mistake is not arithmetic, it is a low bid that excludes half the work and is not caught until the job is running. Comparing bids is only useful if the comparison surfaces what a bid does not say.

Delivering the solution

Bids enter the system by drop or by forwarding to a project's ingest address, and come back structured. Competing bids sit side by side within each division, and scope gaps and exclusion differences surface automatically, so a low number that excludes half the work looks low for the right reason.

Selecting a vendor writes the schedule of values itself, on real cost codes, with cascading markups and Hawaii's general excise tax applied where it belongs rather than remembered at the end.

Estimating runs on the same workspace. A plan set goes in and a branded, client-ready estimate comes out with quantities by division, labor, schedule, and risk.

OpenClaw is installed for the team with a purpose-built estimating skill: a senior chief estimator that reads the full plan set. Work that ran in weeks now runs in hours.

Ali'i Builders Consolidates Bidding, Leveling, and Estimating Into One Workspace

Subcontractor PDFs are parsed into structured comparisons and vendor selection generates the schedule of values automatically. Built by Internal Automation.

Ali'i Builders, a general contractor on Hawaii Island, has moved its bidding, leveling, and estimating onto a single workspace built by Internal Automation.

Subcontractor bids are submitted by upload or by forwarding to a project ingest address, and are returned in structured form. Competing bids are presented side by side within each division, with scope gaps and exclusion differences identified automatically. The board currently holds 42 parsed bids.

Selecting a vendor generates schedule-of-values line items against real cost codes, applying cascading markups and Hawaii's general excise tax.

The workspace also produces client-ready cost estimates from a plan set, covering quantities by division, labor, schedule, and risk. OpenClaw has been installed for the team with a purpose-built estimating capability that reads a full plan set. Estimates that previously took weeks are produced in hours.

Ali'i Builders owns the workspace.
