Business challenge

Restaurant reservation platforms charge per cover, forever, for the privilege of managing a floor the restaurant already knows better than they do.

They also model the room badly. A generic engine treats a table as a slot, which either leaves seats empty or double-books a room where parties overlap, and the restaurant absorbs the difference every service.

Delivering the solution

The availability engine models the real room: 25 reservable seats per slot in 90-minute windows, with overlapping parties handled properly rather than by rounding.

Every booking fires two branded emails at once, a staff alert and a guest confirmation, timestamped in Hawaii time.

Music drives this room, so the system watches the calendar for it. If no future show is scheduled, it alerts the owner once, rather than nagging, which is the difference between a useful alert and one that gets muted.

Around that sit 72 food items and 86 drinks as digital menus with a pickup flow, and a single admin covering reservations, both menus, hours, music, events, and orders. Aloha Vibes Bar & Grill, an oceanfront restaurant on Ali'i Drive in Kailua-Kona, has replaced subscription reservation software with a system it owns outright, built by Internal Automation.

The availability engine models the restaurant's actual floor, with 25 reservable seats per slot in 90-minute windows and support for overlapping parties. Each booking generates a staff alert and a guest confirmation simultaneously, timestamped in Hawaii time. 293 reservations have been recorded on the system.

The platform serves 72 food items and 86 drinks as digital menus and supports a pickup ordering flow capturing items, quantities, and collection times. A single administrative interface covers reservations, both menus, opening hours, music, events, and orders.

A scheduling monitor alerts the owner when no future live-music event is booked. A separate automated collector tracks review velocity across seventeen competing Kailua-Kona restaurants.

The restaurant owns the system and pays no per-cover fees.
