Hospital Supply HQ is a medical wholesale operation selling supplies to clinical buyers out of a supplier ERP catalog measured in the tens of thousands of items.

Business challenge

Medical wholesale does not work like retail. Orders have floors, products have pack sizes that cannot be broken, and the price a buyer pays depends on availability and terms that a person still has to confirm.

Storefront software assumes none of that. It assumes a cart, a card, and a shipment, which means the rules end up enforced by whoever reads the order afterwards, and the errors surface as credits and returns weeks later.

Delivering the solution

The catalog carries 33,913 products synced from the supplier's ERP, with images mirrored and clinical content layered on top of the raw catalog data.

The ordering rules live in one policy file rather than scattered through the checkout. It enforces the $2,500 order floor and reads each product's packaging to derive its own minimum, so a case orders as a case.

Checkout validates all of it server-side, then routes the order to a human for pricing and availability confirmation instead of charging a card. The flow matches how the business actually closes an order rather than how retail software wishes it did.

The order book rebuilds itself from the mail. Every order request carries a machine-readable payload inside the confirmation email, and a sync job reconstructs the order record from those messages, so the system of record cannot silently drift from what was actually sent.

The catalog is synchronized from the supplier's ERP system, with product images mirrored and additional clinical content layered over the source data.

Ordering rules are consolidated into a single policy file that enforces a $2,500 minimum order value and derives per-product minimums from each item's packaging, so that case-packed goods are ordered in whole cases. Checkout validates these rules server-side and routes the resulting order to a staff member for pricing and availability confirmation rather than processing a card payment.

Each order request embeds a machine-readable payload within its confirmation email, and a synchronization process rebuilds the order book from those messages, keeping the system of record aligned with what was sent.
